ROLE:     The administrative assistant performs all activities relating to successful operation of the main office and corporate team.

QUALIFICATIONS:

  • High school diploma or GED.
  • Customer service oriented.
  • Must have the availability to work a flexible schedule any day of the week.
  • Ability to follow direction and instruction from corporate team, and to communicate effectively and efficiently with all team members, residents, prospects, supervisors, vendors and others.
  • Must be team oriented.
  • Must have reliable transportation.
  • Basic math skills.
  • Must be detailed oriented and can communicate effectively.
  • Must have previous experience as an administrative assistant or office manager preferably in the multi-family or construction industries.
  • Strong organizational skills.
  • Ability to multitask in a fast-paced environment.
  • Must be adaptable and open to change and continuous improvement.

 

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Must demonstrate and model SG's core values and behaviors.
  • Establishes and maintains good relations with residents, prospective residents, all customers, and co-workers.
  • Ensures that all main office visitors and callers are greeted promptly.
  • Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate team member.
  • Make sure the office is kept in orderly and clean fashion.
  • Maintain calendar board.
  • Order office supplies, as needed.
  • General office duties such as typing flow of correspondence, filing, faxing, etc.
  • Booking travel and hotel arrangements as needed.
  • Coordinate materials for meetings and training sessions and other activities of the organization as needed.
  • Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics)
  • Preform monthly checks of all sites phone systems.
  • Receive and distribute all incoming mailing and coordinate outgoing mail, including courier services.
  • Prepare payables for mailing.
  • Accounting data entry as needed.
  • Assist with review of administrative procedures and development of systems to assure compliance by all staff.
  • Responding to executive staff requests for administrative support as needed
  • Perform other duties and responsibilities as requested with a sense of humor and team spirit.
  • Maintains confidentiality of team members, management, owners, past and current residents, vendors, and all outside
  • Prepares and deliver various reports as requested.
  • In conjunction with the HR department, assists in organizing and promoting team functions.
  • Other duties as assigned.

 

 

CUSTOMER SERVICE EXPECTATIONS FOR ALL TEAM MEMBERS:

  • Always provide exceptional Customer Service
    • Personal contact with residents is preferred and always greet residents by name and with a smile.
    • Respond to all resident requests within 24 hours.
    • Return all phone call messages and email messages same day.
  • Must be team oriented and treat fellow team members with respect.
  • Maintains professional internal and external relationships that meet company core values.
  • Communicates regularly and effectively with internal and external customers.
  • Handles difficult situations with a cooperative attitude, poise and diplomacy.
  • Sends out information in a timely manner and exercises good follow up skills.
